“The outreach and events intern will manage, coordinate and schedule community events, meetings and program activities as well as produce events from conception to completion. They will also be responsible for collaborating with internal teams and external partners regarding the direction, organization, execution and documentation of community-related strategies and initiatives to strengthen the Arts East New York community.
Responsibilities:
Plan, design and produce events
Monitor and report on trends within our industry
Liaise with clients to identify their needs and to ensure customer satisfaction
Propose ideas to improve provided services and event quality
Organize facilities and manage all event’s details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material etc
Ensure compliance with insurance, legal, health and safety obligations
Cooperate with marketing and PR to promote and publicize event
Proactively handle any arising issues and troubleshoot any emerging problems on the event day
Act as the liaison between Arts East New York and our vendors and partners
Conduct pre- and post – event evaluations and report on outcomes
Research market, identify event opportunities and generate interest
Coordinates existing community and signature events as well as other events at various indoor and sites throughout the City
Ensure alignment between brand initiatives and community outreach activities
Support development of partnership agreements with various third parties
Plan and facilitate community outreach meetings
Facilitates and coordinates with vendors, tracks receipts and invoices, and works with the Marketing and Special Event team to implement activities
Provides administrative support for events and marketing activities
Weekend and holiday work will be required at times
Create, assemble, and distribute all necessary outreach materials with the Executive Director, identify and establish relationships with local business partners willing to sponsor or donate funds and/or services to Arts East New York
Provide support to Executive Director and board members with planning, promoting, and executing Arts East New York fundraising events”
